    Hi Guys,

    Looking for recommendations (software/hardware etc.) in improving our workflow for orders, especially around packing and recording item weights.

    We run a small retail business selling small (non bar-coded) items through opencart & ebay. We currently compile (semi-automatically) all order information into a spreadsheet.
    Basic work-flow involves:

    • printing the spreadsheet out at the beginning of the day to use as our packing list
    • Once appropriate items are packed for an order, the box is weighed and the weight is written down on the printed spreadsheet
    • After a number of orders are completed, the weights are entered into the spreadsheet on the computer and from there we can run a script to generate the shipping labels

    All well and good, but it’s a little clunky.

    Ideally, instead of recording the weights on the print-out spreadsheet and then entering them on the computer we would like to be able to enter them directly into the spreadsheet via a hand-held device (e.g. smart phone) etc. Possibly even better would be to have a bar-code generated for each order and once packed, the bar code could be scanned and the weight entered via a hand-held device directly into some kind of order management system.

    Anyway, hopefully you get the picture…

    Any ideas for improving our work-flow would be greatly appreciated!

    I’m putting the finishing touches on my new website at the moment. Same deal as you, selling through eBay and now launching a website as well.

    Cart: Magento http://magento.com/
    Inventory Management: Unleashed http://www.unleashedsoftware.com/
    eParcel integration: Rocketship IT https://rocketship.it/
    Accounting: Xero https://www.xero.com/au/
    eBay integration: M2E Pro http://m2epro.com/
    Printers: Standard bubblejet for invoices, Dymo 4XL for shipping labels

    I picked these systems because they all have a nice tight integration. Basic workflow is:

    Create product in Unleashed including all COGS. Unleashed pushes to Magento
    M2E Pro pushes from Magento to eBay

    When I get a sale through eBay or the store it will deduct stock from Unleashed and mark the price against my product, it then shows reports on profit per sale/item etc. Also tracks inventory and forecasts when you need to make stock orders.
    Order info pushed to RocketShip IT which will do a daily upload to eParcel and then update all Magento orders with tracking numbers etc and push an email to customers with the details.

    Haven’t worked out the printing aspect yet but hoping it’s more straight forward than Click and Send which wants an A4 sheet rather than 4×6 shipping label..

    Magento allows me to select all orders at “Processing” (paid but not picked/packed/shipped) and print out a picking list, not sure if OpenCart does this?

    Unleashed pushes all orders straight in to Xero for invoicing and accounting on all COGS and sales.

    Good news for you is there is an integration for Unleashed > OpenCart using OneSAAS – http://www.onesaas.com/Integrate/unleashed-with-opencart

    Thanks for sharing Maclean! We’re using Xero for accounting. And as of now, we don’t have much need for inventory tracking, but will look into what unleashed can do for us. We ship orders every day and push to get things out the door ASAP, so we’d like our systems to push/pull data in real-time if possible.

    I think OpenCart has plugins for printing picking slips, so I will look into that.

    We use a laser printer and print directly to eParcel labels provided by AusPost. Whilst the eParcel system is a bit clunky (it doesn’t have an API, just a CSV import function), if I recall correctly, it is easier than using Click and Send.

    No trouble at all. From what I have going now (Magento <> eBay) that runs every minute or so, so that’s all real time.

    I believe all of my Unleashed inventory control will be real time as well however I think the Starship IT is a manual thing. As in, when I want to do the eParcel upload I have to click a button which will look for all ‘processing’ orders and do everything automatically.

    Whilst unleashed go with “Powerful Inventory Management” as their tag line, I see the key benefit of it as the profit margin reporting. We use best offer on eBay so our profit margin changes almost on a per sale basis. So I expect this to really help us determine our exact profit margin per sale. I really like the stock level forecasting as well.

    I’ll hopefully have more info in less than a week when I get it all working!

    I ended up using Linksync.com instead of Starship It. Everything was done in Magento instead of having to log in to their own system like Startship It.
