    Do any service companies out there use a program to organise their scheduling / completed job details for onsite mechanics?

    We have a specialised HVAC company with 6 mechanics and 4 additional staff, located in Brisbane. We do our invoicing through MYOB.

    At the moment our company adds jobs into the google calendar, which can be accessed by the mechanics onsite from their mobile devices.
    They then fill out OHS forms, invoices, service sheets etc – on paper.
    This paperwork comes back to the office, where we can invoice it out to the customer.
    We currently have delays in the paper trail. In both the sense of mechanics not filling out their paperwork satisfactorily, or slow paperwork completion – leading to slow invoicing.

    Ideally we would be able to add jobs to a calendar/schedule program from the office. Have a job assigned to an employee. Have that employee able to time track onsite from their mobile device. Fill out necessary paperwork onsite, and have that immediately be delivered back to the office via the internet/email/sms/etc.
    If it could include all timesheets (i.e. lunch, picking up parts), gps mapping of techs, inventory info (so they can accurately add items they have used to their jobs) and linking job photos back to the jobs that would be great!

    A quick internet search shows there are a number of programs available.
    Any recommendations?

    Hi Vivian,

    You might want to take a look at GeoOp, what you have written is pretty much a spec of what this app does!

    Receive jobs into the office & enter to GeoOp, assign them to a mobile employee via his (or her) smart device (Ipad / Iphone, Android device, etc). The employee completes the job, records time and materials (plus if needed notes, PDF uploads, photos, etc) against the job. If he has the authority to raise invoices this can be done real time, or you can push the invoice back to your accounting system to be issued from the office.

    You would have to run Xero for backoffice accounting, GeoOp does not sync to MYOB (but to me that feels like a plus anyway!)
